Merchant Account Readiness for a Remote U.S. Business

Prepare the website, product, customer journey, policies, fulfillment, address, ownership, and transaction data before applying for payment processing.

The website should explain the full customer transaction

A processor may review what is sold, pricing, delivery, refunds, cancellations, contact methods, legal entity, business address, privacy policy, terms, and customer support. A one-page placeholder site with no product detail can be difficult to underwrite.

Make sure the company name, product description, countries, currency, and fulfillment model match the application.

Prepare product and fulfillment evidence

Keep supplier agreements, inventory records, service contracts, shipping timelines, digital-delivery process, customer invoices, and refund workflow. High-ticket, future-delivery, subscription, marketplace, or regulated products may receive additional scrutiny.

Do not list products that the company is not authorized or prepared to deliver.

Explain expected transactions and risk controls

Estimate average ticket, maximum ticket, monthly volume, refund rate, dispute risk, customer countries, delivery time, and sales channels. Describe identity checks, fraud controls, customer communication, and evidence retained for disputes.

Unrealistic volume projections can make a new company appear less credible.

Align banking and address records

The settlement bank account should belong to the correct legal entity. Address, phone, owner, website, and EIN information should match the merchant application and supporting records.

A commercial lease or utility document can support address review when required, but it does not replace the need for a real product and clear risk controls.

Plan for monitoring after approval

Track disputes, refunds, delivery evidence, customer complaints, payout delays, reserves, and policy changes. Keep processor account access, recovery information, and support contacts under company control.

Merchant approval is the beginning of an operating responsibility, not the end of an application project.
