Build the application file before selecting the bank

A business-bank application is not only a company-registration check. Providers may review the legal entity, beneficial owners, business activity, address, website, expected transactions, countries, source of funds, customers, and purpose of the account. Preparing those records first makes provider selection more accurate.

Create one folder with the latest company and owner documents. Use a checklist so the application is not started while important records are missing or contradictory.

  • Formation document and good-standing evidence where requested
  • EIN assignment evidence
  • Operating agreement and ownership records
  • Government identification for owners and authorized signers
  • Residential and business address evidence
  • Website, domain email, and business phone
  • Source-of-funds and expected-transaction explanation

Explain the business in specific language

Avoid broad labels such as trading, consulting, online business, or technology without context. Explain what the company sells, how customers find it, how contracts are delivered, where customers are located, and how funds enter and leave the account.

The business description should agree with the website, invoices, NAICS code, state filing, payment processor, and D&B profile. A provider may request contracts, invoices, a business plan, or screenshots when the company is new.

Prepare the owner and source-of-funds record

The provider may ask who owns and controls the company, where each person lives, how the company was funded, and what the opening deposit represents. Keep evidence for owner capital, customer revenue, investment, loans, or transfers from another business.

Do not describe a personal transfer as customer revenue or hide the relationship between related companies. Clear explanations are safer than trying to make the company look older or larger than it is.

Match the address evidence to the provider question

A form may ask for a registered address, mailing address, principal office, or owner residential address. These are not interchangeable. A mailbox can work for mail, while a provider may separately request evidence of the operating address or a company lease.

OfficeProof can provide a unique commercial suite, company-name lease, non-CMRA classification, mail access, and verification support. It should still be described accurately within the company’s remote operating model.

Choose the provider after the risk profile is clear

Compare providers based on supported countries, industries, ownership types, address rules, required U.S. ties, account features, deposit protection, fees, transfer limits, customer support, and expected transaction patterns.

One complete and well-matched application is more useful than several rushed applications. Record every submission, document request, response, and final decision so the next step is based on evidence.
