ITIN Application Documents and the Form W-7 Process

An ITIN application needs a valid federal tax purpose, a completed W-7, identity evidence, and the correct tax-return or exception route.

The application begins with a federal tax purpose

The IRS issues an ITIN to an individual who needs a U.S. taxpayer identification number for federal tax purposes and is not eligible for an SSN. The applicant generally submits Form W-7 with a federal tax return unless an exception applies and the required exception documents are provided.

Owning a U.S. company does not automatically prove the filing basis. Review the actual tax or reporting reason before collecting sensitive documents.

Complete Form W-7 from the identity records

The legal name, birth information, citizenship, foreign address, U.S. address where relevant, visa details, prior taxpayer numbers, and reason for applying should match the supporting records. Choose the reason box that best explains the application.

Inconsistent names, incomplete addresses, missing treaty details, or incorrect exception claims can delay or reject the application.

Use an approved identity-document route

The IRS requires original documents or certified copies from the issuing agency unless a permitted Certifying Acceptance Agent process is used. The acceptable route depends on the applicant and filing method.

Passport handling should be planned carefully. Use secure document transfer and confirm who will receive, review, certify, mail, or return the identity records.

Attach the tax return or exception evidence

First-time applicants usually attach Form W-7 to the front of the federal tax return for which the ITIN is needed. Applicants using an exception must include the exact supporting documents required for that exception.

Tax-return preparation is a separate professional service unless it is specifically included in the engagement. The person preparing the return should understand the applicant’s facts and any treaty position.

Track notices and preserve the final record

Keep a complete copy of the W-7 package, shipment record, identity-document route, tax return or exception evidence, and IRS correspondence. Processing times can change, and the IRS may request more information.

After issuance, store the ITIN notice securely and update only the legitimate tax, company, bank, or provider records where the number is requested and accepted.
