Beneficial Ownership and KYC File for a U.S. Business Bank Application
Organize the ownership chart, controlling-person details, identity documents, source of funds, and related-company records a provider may request.
Separate legal ownership from account authority
The owners of the company, the person who controls it, and the people authorized to operate the bank account may overlap, but they are not always identical. Prepare records for each role so the provider can understand the complete relationship.
The operating agreement, share register, resolutions, and application should show the same ownership percentages and signing authority.
Create a simple ownership chart
Show the U.S. entity, every direct owner, any parent or holding company, and the individuals who ultimately own or control those entities. Include ownership percentages and the country of formation or residence for each party.
A one-page chart does not replace legal records, but it helps a reviewer understand a multi-layer structure before reading the detailed documents.
Prepare current owner and controller evidence
Keep clear government identification, residential-address evidence, date of birth, nationality, taxpayer information where applicable, occupation, and contact details for every person the provider requires. Documents should be current, complete, and readable.
Do not crop security features, edit addresses, or submit one person’s document for another owner. When a name has multiple spellings or transliterations, explain the relationship and use a consistent legal form going forward.

Explain the source and expected movement of funds
Identify whether the opening money is owner capital, a loan, customer revenue, investment, or a transfer from another company. Preserve bank records, contracts, invoices, loan documents, or ownership evidence supporting the explanation.
Map the expected countries, customers, payment methods, average ticket, monthly volume, vendors, and account purpose. The provider should be able to see how the money flow fits the business model shown on the website.
Keep the KYC file current after approval
Banks and financial platforms can request refreshed ownership, identity, address, and activity information. Record changes in owners, managers, signers, addresses, phone numbers, countries, products, and expected volume before the next review occurs.
