IRS Form 8822-B: Updating a Business Address or Responsible Party
Use a controlled IRS update process when the company mailing address, business location, or recognized responsible party changes.
Know which IRS records Form 8822-B can change
Form 8822-B is used by businesses and other entities with an EIN application on file to report a new business mailing address, business location, or responsible party. These fields are part of the federal identity record and can affect tax notices, verification requests, and later provider reviews.
Changing the address on a website, state filing, bank account, or tax return does not automatically update every IRS record. Treat the federal address change as its own documented task.
Distinguish the mailing address from the business location
A mailing address is where IRS correspondence should be delivered. A business location describes where the business is located for the purpose of the form. A remote company may have a commercial office, mail route, registered-agent address, and owner residence, but each should be used only in the field that actually asks for it.
Before filing, map the new OfficeProof lease, mail handling, state record, bank record, website, and IRS record. This prevents one change from creating a new set of inconsistencies.
Update a responsible party promptly and accurately
The responsible party is generally the individual who ultimately owns or controls the entity or exercises effective control. The IRS states that changes in responsible-party information must be reported within 60 days.
A nominee or formation service should not remain listed as the responsible party merely because that person helped create the company. Use the actual controlling individual and preserve the supporting ownership and authority records.
- Confirm the current IRS legal name and EIN
- Record the former and new mailing addresses
- Record the business location when required
- Identify the actual responsible party
- Use the responsible party’s permitted taxpayer identifier
- Keep a signed copy and delivery evidence
Track the filing and confirmation process
Use the current IRS form and mailing instructions. Keep a complete signed copy, delivery tracking, and a case note showing who prepared and approved the change. The IRS may send confirmation notices to the former and new addresses.
If the company does not receive the expected confirmation, review the current IRS guidance before sending a second request. Do not submit repeated forms without preserving the history because duplicate or conflicting instructions can slow the update.
Coordinate the wider company-address project
After the IRS update is submitted, continue through the state, registered agent, bank, D&B, merchant, insurance, licensing, website, invoice, and vendor records. Record the status and effective date for each system because they will not all update at the same speed.
